TITLE: Administrative Assistant / Receptionist
ABOUT MINNESOTA ADVOCATES: Minnesota Advocates for Human Rights is a
volunteer-based non-profit organization dedicated to the promotion and
protection of internationally recognized human rights. Minnesota
Advocates documents human rights abuses, provides direct legal
representation, and educates on human rights issues, particularly
pertaining to women, children, and immigrants and refugees.
GENERAL DESCRIPTION: The Administrative Assistant is responsible for
providing general office support for Minnesota Advocates and its
administrative team. This position requires a broad knowledge of the
organization's work, an ability to assist staff on a daily basis, and
willingness to take on new projects as needed by the organization.
SUMMARY OF DUTIES:
Receptionist
* Answer phones and serve as first contact for individuals coming
to office
* Distribute incoming E-mail and mail and process daily deposits
* Respond to requests for general information and provide
referrals to other organizations
General Office/Administrative Team Support
* Maintain office equipment; liaison with maintenance personnel
when necessary
* Maintain stock of office supplies
* Process donations, produce thank you letters and reports and
maintain files
* Attend Board meetings, produce minutes, and produce mailings to
Board members
* Serve as contact person with printing house for various print
media needs
* Assist in creating and maintaining organized filing systems and
office procedures
Staff Support
* Provide technical and office support for staff members, interns
and volunteers
* Create mailing lists for event announcements
Volunteer Support
* Serve as first contact for volunteer and internship inquiries
* Orient new interns and volunteers, coordinate volunteer
placement and maintain files
Other Duties
* Assist with annual event planning
* Work with Communications Director on year end letter appeal, and
to produce newsletter three times per year, using Quark to create a high
quality layout
* Website updating as needed
* Other projects and duties as needed by the organization
EXPERIENCE DESIRED: Proficiency in Quark, word processing, database
management, interaction with the public, and telephone communications.
The ideal candidate will possess solid organizational and communication
skills; be responsive to staff needs; be comfortable working with
diverse groups of people; have experience working in a non-profit
environment; and have an interest in human rights, social justice and
international affairs.
